FAQ's - General Information
- How do I order a transcript or have a copy sent to another college?
Transcript requests are processed every Friday. Transcripts will not be released if a financial hold has been placed on your account. This hold must be resolved before the transcripts will be processed.
Online Request
Bowling Green Technical College has authorized the National Student Clearinghouse to provide transcript ordering via the Web. You can order transcripts using any major credit card. Your card will only be charged after your order has been completed.

The site will walk you through placing your order, including delivery options and fees. You can order as many transcripts as you like in a single session. Base cost is $5.00 per transcripts with a $2.25 processing fee per order (not per transcripts).

In-state $121 per credit hour
Out-of-state (contiguous counties) $156 per credit hour
Out-of-state (other) $390 per credit hour
Out-of-state students covered by CPE tuition reciprocity agreements will pay the in-state rate as they have done in the past.

- How can I receive a copy of my child’s grades?

FERPA governs release of records maintained by an educational institution and access to those records. Copies of the Act and any Kentucky Community and Technical College System policies related to the Act are available in the office of the Dean of Student Affairs at each KCTCS college.
In general, the college will not release student educational record information without the expressed consent of the student. The following items of information from student records may be released by a KCTCS college without the consent of the student unless the student has notified the chancellor of the Kentucky Community and Technical College System in writing that he or she objects to such release: name, address, telephone listing, date and place of birth, major field of study, participation in officially recognized activities and sports, weight and height of members of athletic teams, dates of attendance, degrees and awards received, and the most recent previous educational institution attended.

- What is FERPA and what does it mean to me?
Family Educational Rights and Privacy Act (FERPA)
The Family Educational Rights and Privacy Act (FERPA) (20 U.S.C.? 1232g; 34 CFR Part 99) is a Federal law that protects the privacy of student education records. The law applies to all schools that receive funds under an applicable program of the U.S. Department of Education.
FERPA gives parents certain rights with respect to their children's education records. These rights transfer to the student when he or she reaches the age of 18 or attends a school beyond the high school level. Students to whom the rights have transferred are "eligible students."
Parents or eligible students have the right to inspect and review the student's education records maintained by the school. Schools are not required to provide copies of records unless, for reasons such as great distance, it is impossible for parents or eligible students to review the records. Schools may charge a fee for copies.
Parents or eligible students have the right to request that a school correct records which they believe to be inaccurate or misleading. If the school decides not to amend the record, the parent or eligible student then has the right to a formal hearing. After the hearing, if the school still decides not to amend the record, the parent or eligible student has the right to place a statement with the record setting forth his or her view about the contested information.
Generally, schools must have written permission from the parent or eligible student in order to release any information from a student's education record. However, FERPA allows schools to disclose those records, without consent, to the following parties or under the following conditions (34 CFR ? 99.31):
School officials with legitimate educational interest;
Other schools to which a student is transferring;
Specified officials for audit or evaluation purposes;
Appropriate parties in connection with financial aid to a student;
Organizations conducting certain studies for or on behalf of the school;
Accrediting organizations;
To comply with a judicial order or lawfully issued subpoena;
Appropriate officials in cases of health and safety emergencies; and
State and local authorities, within a juvenile justice system, pursuant to specific State law.
Schools may disclose, without consent, "directory" information such as a student's name, address, telephone number, date and place of birth, honors and awards, and dates of attendance. However, schools must tell parents and eligible students about directory information and allow parents and eligible students a reasonable amount of time to request that the school not disclose directory information about them. Schools must notify parents and eligible students annually of their rights under FERPA. The actual means of notification (special letter, inclusion in a PTA bulletin, student handbook, or newspaper article) is left to the discretion of each school.
For additional information or technical assistance, you may call (202) 260-3887 (voice). Individuals who use TDD may call the Federal Information Relay Service at 1-800-877-8339.

- What are the hours of operation of the college?
Daily operating hours are normally Monday-Friday 7:30 a.m.-4:00 p.m. However, hours may be adjusted to meet the needs of our students or during peak times, such as registration.
The COMPASS is an assessment tool used by the college to determine what courses a student should be placed into to ensure their academic success. For students who do not score above 18 on their ACT in Reading and Math and in some cases even higher (depending upon their academic program) the Compass is required.
Most new students are required to take the COMPASS exam.
This test is to determine which level of classes a student must take. There is no charge for this exam.
New students will be given information about the Compass Exam at Orientation.
Students who have taken the ACT and scored an 18 in English, an 18 in Reading, and a 20 in Math do not have to take the COMPASS exam.
It is important to take the COMPASS exam seriously. Re-Examination is allowed in only a few circumstances and there is a fee to re-test. For information about the COMPASS contact the Assessment Center at 270-901-1037.
-
When Do I See an Admissions Advisor?
Once students have taken the COMPASS exam, they can see an admissions advisor to talk about the results of the test. After the students see the admissions advisor, they can see their academic advisor to register for classes.
- When do I Attend Orientation?
All first time students must attend new student orientation.
Students will be given information regarding the new student orientation date and time once their applications have been processed. There is one orientation session during the Fall & Spring Semester.
If a student cannot attend orientation due to an unforeseen circumstance, a student may complete the online orientation.
Orientation last approximately three hours and covers information about the college, programs, assessment testing, registration, seminars and workshops.
Students receive their student ID number at orientation.
-
Where do I Register for classes?
Students must meet with an academic advisor and be released in the computer by their advisor in order to register for classes.
Students must bring college transcripts and/or test scores as documentation of completed prerequisite courses.
- Can I register/drop/add on the telephone or internet?
Internet Information:
Most students can register over the Internet (online). Students must have completed an Academic Program Plan with an advisor and be released in the computer by the advisor to be eligible to register online. If you have not completed an APP, see your academic advisor to be able to choose the courses you want at the times you want.
You must pay tuition by the deadline, which is a few days before classes begin each semester. Dates are available on the Website. You must pay in full or make arrangements to pay by the deadline. Failure to pay by the deadline can result in being dropped from class.
